This article will outline what room block requests are and how to use them for your team travel.
What Are Room Block Requests?
Room block requests are made when there is not enough inventory for a reservation. In instances where more inventory is required, a request is sent to the hotels by our procurement team for the additional inventory. The rooms that were available will be yours at the time of blocking but the additional rooms will need to be contracted. We will notify you by email during this process that a request has been made and either approved, declined or counter-offered.
Step #1 - Hotel Feed
As you're shopping for accommodations on the Hotel Feed, click 'Select Your Room' on the hotel card you wish to book.
Step #2 - Hold Group Rooms
The hotel card will open where you will be able to block rooms right away if inventory is available. To make a block of rooms, click on 'Hold Group Rooms'.
Step #3 - Hold Request Details
Here you will define how many rooms you need for each date of your stay. In the instance that you need more rooms than the inventory available, a request will be made on your behalf for the additional contracted inventory. A message will appear at the bottom of the card outlining how much inventory will need to be requested.
Step #4 - Request Confirmation
After submitting a block request we will email you a confirmation along with a runner up hotel with immediate booking inventory for your consideration.
If your request has been approved we will send you an email with a link to book your requested inventory.
If your request has been denied, we will inform you via email that no inventory could be procured and give you a link to shop for similar hotels.
If the hotel comes back with a counteroffer, we will send an email with a link for you to review their offer. This may include a price increase/decrease, altered room selection or different dates.
Step #5 - Accepting/Declining Block Requests
To accept or decline a counteroffer, go to your dashboard and under 'Hotel Holds Requests' you will see Hotel Requests with the option to accept or decline the hotel's offer.
